About The Role
The Executive Assistant will play a pivotal role in supporting the Global Head of Administrative Services by providing high-level administrative support to senior executives. This position requires a detail-oriented, proactive individual with excellent organizational and communication skills. Responsibilities include managing complex schedules, coordinating travel and meetings, preparing reports and presentations, and acting as a liaison between the executives and internal/external stakeholders. The ideal candidate will exercise sound judgment, maintain confidentiality, and demonstrate a high degree of professionalism and discretion. This role demands the ability to work independently, prioritize multiple tasks efficiently, and handle pressure with composure. The Executive Assistant will be instrumental in ensuring the smooth operation of executive functions and contributing to the overall efficiency of the leadership team.
Qualifications
- 5-10 years of experience as an Executive Assistant supporting C-Level executives, preferably within the technology industry or multinational corporations
- Proven project management experience; PMI certification preferred
- Bachelor’s degree preferred; relevant work experience may be considered in lieu of formal education
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Exceptional organizational and time-management skills with keen attention to detail
- Strong written and verbal communication skills
- High level of discretion and confidentiality in handling sensitive information
- Experience managing complex international travel arrangements
- Ability to build and maintain professional relationships with diverse stakeholders
- Proactive mindset with the ability to anticipate needs and take initiative
- Adaptability to fast-paced, dynamic environments
- Foreign language skills are a plus
- Demonstrated problem-solving skills and decision-making capabilities
- Emotional maturity and cultural awareness
- Reliable and resourceful, with a positive ‘Can-Do’ attitude
Responsibilities
- Manage and coordinate complex schedules for senior executives, including meetings, travel, and conferences
- Prioritize and handle multiple tasks simultaneously, ensuring timely follow-up and completion
- Serve as the primary point of contact between executives and internal/external stakeholders
- Handle confidential information with utmost discretion and professionalism
- Organize detailed travel plans, itineraries, and agendas, including booking flights, accommodations, and ground transportation
- Plan and coordinate executive meetings, including preparing agendas, logistics, and follow-up actions
- Coordinate corporate events, retreats, and off-site meetings to support organizational initiatives
- Prepare, edit, and review correspondence, reports, presentations, and other documents
- Maintain comprehensive records, including expense reports and confidential files
- Assist in executing ad-hoc projects and initiatives as directed by senior management
- Collaborate with various departments to support cross-functional initiatives and communication
- Maintain and organize important documents, ensuring accessibility and currency
- Act as a gatekeeper and liaison, facilitating smooth communication and access for the executives
- Support the preparation of board meeting materials and manage scheduling for senior management meetings
- Draft meeting agendas, take notes, and follow up on action items to ensure accountability
- Proactively identify potential issues and provide solutions to streamline operations
- Perform special projects as assigned, demonstrating flexibility and initiative
