NANA Healthcare Management is looking for a Office Assistant to join our team in our Dunwoody office.
The Office Assistant plays a key role in maintaining smooth office operations across the landscaping, maintenance, and housekeeping divisions. This position supports scheduling, invoicing, data entry, customer communication, and coordination with crew leads to ensure jobs are completed efficiently and clients are satisfied.

Schedule: Full-Time, Monday – Friday

Pay: $20-$22 hourly

Key Responsibilities

  1. Answer and route phone calls, emails, and client inquiries in a professional and friendly manner
  2. Schedule service appointments for landscaping, facility maintenance, and housekeeping teams.
  3. Prepare and send estimates, proposals, invoices, and receipts to customers.
  4. Maintain accurate service records, job logs, and work order documentation.
  5. Support payroll processing by collecting and verifying timesheets from field employees.
  6. Track supplies, materials, and equipment inventory; coordinate vendor orders as needed.
  7. Input and update data in QuickBooks or other accounting software.
  8. Assist with billing, payments, and expense tracking.
  9. Communicate with field supervisors to confirm job completion and resolve scheduling issues.
  10. Support hiring and onboarding of new team members (paperwork, uniform distribution, etc.)
  11. Assist with basic marketing and customer outreach (social media posts, follow-up emails)
  12. Maintain organized electronic and paper filing systems.
  13. Perform other administrative and operational support as assigned..

Qualifications

Education:

  • High school diploma or GED required; Associate degree preferred.

Experience:

  • 1–3 years of office or administrative experience; service industry experience preferred

Skills & Competencies:

  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and comfortable learning new software systems.
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • Demonstrated professionalism and ability to interact with diverse staff and clients.
  • Problem-solving, time management, and teamwork skills are essential.
