About The Role We are seeking a highly organized and proactive Executive Assistant to support our executive team, primarily focusing on C-level executives such as CEOs and COOs. This role is vital in ensuring the smooth operation of daily activities, managing schedules, coordinating communications, and handling various administrative tasks. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple priorities efficiently in a remote work setting. This position offers an exciting opportunity to be part of a fast-growing company that values innovation, collaboration, and professional development. The role is remote, with work hours aligned to US time zones, and is suitable for professionals with 1-5 years of relevant experience.

Qualifications

  • Minimum of 3 years of experience as an Executive Assistant to C-level executives (CEO, COO, etc.)
  • Bachelor’s degree or relevant certificate courses
  • Excellent communication skills in English, both written and verbal (at least B2 level)
  • Strong organizational and time management abilities
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with online calendar management tools such as Google Calendar
  • Familiarity with cloud services, desktop sharing, and VoIP technology
  • Proactive attitude with a willingness to learn and adapt to new tools and processes
  • Technical requirements including a USB noise-canceling headset, webcam, and a reliable computer with at least 1.8 GHz processor and 4GB RAM
  • Internet connection with minimum speeds of 25 Mbps (main) and 10 Mbps (backup)

Responsibilities

  • Create, send, and manage invoices, track payments, and record company expenses accurately
  • Gather data on industry trends, best practices, and prepare comprehensive reports for analysis
  • Organize and maintain digital and physical documents and files systematically
  • Perform data entry tasks such as lead list creation, transcription of meeting minutes, payroll preparation, and research notes organization
  • Research products, purchase goods, and secure samples as required
  • Manage and update marketing and sales campaign information within CRM systems
  • Monitor ongoing projects, facilitate internal communication, and organize company data for easy access
  • Coordinate team calendars, prevent scheduling conflicts, and ensure timely meetings with clients
  • Arrange travel itineraries, hotel bookings, rental cars, and related logistics
  • Handle incoming calls, schedule appointments, and conduct informational inquiries
  • Respond to emails, follow up on correspondence, organize inboxes, and notify clients of important messages
  • Synthesize data and content into clear reports and presentation slides for internal and external use
  • Manage social media accounts by uploading videos, addressing negative reviews, and updating profile information
  • Perform ad hoc administrative tasks as needed to support executive and team operations
