About The Role

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our Vice President of Marketing. In this role, you will be instrumental in managing executive schedules, coordinating complex travel arrangements, and facilitating communication across various departments and global offices. You will serve as a key point of contact for internal and external stakeholders, ensuring that all logistical and administrative needs are met with professionalism and efficiency. Your ability to exercise sound judgment, prioritize tasks effectively, and demonstrate discretion will be crucial in maintaining the smooth operation of the executive’s office. Additionally, you will contribute to the planning and execution of events, support content development for leadership presentations, and assist with various projects aligned with the company’s strategic goals.

Qualifications

  • High School Diploma or GED/equivalent
  • At least 5 years of experience in executive support, office administration, or a similar role
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
  • Associates Degree in Business Administration or related field (preferred)
  • Familiarity with SAP Concur and/or BCD Travel (preferred)
  • Experience supporting senior leadership, especially across multiple time zones
  • Strong calendar management and logistical coordination skills for domestic and international travel
  • Excellent proofreading, editing, and document preparation skills for executive-level materials
  • Exceptional organizational, communication, and problem-solving abilities
  • Ability to exercise discretion and maintain confidentiality in all operations

Responsibilities

  • Maintain an accurate and current calendar for the Vice President of Marketing, coordinating internal and external meetings efficiently
  • Lead logistics for travel arrangements, including booking flights, accommodations, and transportation, ensuring cost-effectiveness and adherence to policies
  • Coordinate global calls, virtual meetings, and leadership or team events, managing all necessary logistics and materials
  • Review, prioritize, and escalate activities based on business needs, aligning tasks with strategic priorities
  • Gather, verify, and prepare information for reports, presentations, memos, letters, speeches, and news releases
  • Collaborate with marketing and communications teams to support content creation for leadership presentations, videos, and newsletters
  • Manage event projects, including coordinating production materials, catering, travel, facilitator scheduling, and onsite resources
  • Proofread and edit documents to ensure accuracy and alignment with company branding and messaging
  • Maintain detailed records and documentation in a fast-paced environment, exercising sound judgment and professionalism
  • Exercise discretion and confidentiality in handling sensitive information and communications
