Job Summary:

As Chief of Staff, you will partner closely with the CEO and senior leadership to drive strategic initiatives, ensure operational excellence and help scale and refine processes while preserving the high‐touch, customized nature of our services. You will act as a force multiplier and be pivotal for the next chapter of growth of our firm, helping the CEO focus on highest-impact items, coordinating across the team and ensuring alignment, efficiency and quality for both internal operations and external client deliverables.

This role offers a unique opportunity for ambitious, entrepreneurial professionals with generalist skills to drive both strategic efforts as well as execution linked to the company’s most critical priorities. This role is designed as a springboard for future senior leadership, specifically for those aiming to step into a Chief Operating Officer role in the future.

Key Responsibilities:

++Strategic Planning & Execution++

  • Collaborate with the CEO to define and track firm‐level strategy and goals in maintaining efficiency in producing client deliverables
  • Help translate strategic priorities into initiatives with clear timelines, ownership and measurable outcomes
  • Independently monitor progress, anticipate roadblocks and ensure course corrections where needed

++Operational Leadership & Process Improvement++

  • Identify inefficiencies and lead process improvements across our operations (filings, policy updates, annual client deliverables, new client buildouts, compliance training, etc.).
  • Ensure internal processes are scalable, documented and efficient

++Client Delivery & Quality Oversight++

  • Oversee delivery of client engagements to ensure consistency, responsiveness and timeliness
  • Ensure deadlines are clearly communicated to clients and met without sacrificing quality
  • Manage project volume and turnaround times, ensuring the team is meeting all deadlines

++Leadership Support & Stakeholder Communication++

  • Act as a trusted advisor to the CEO
  • Represent the CEO in internal meetings and external interactions as needed
  • Ensure clear and timely communication among staff and clients

++Culture, Team, and Organizational Growth++

  • Help maintain the boutique, detail-oriented and customizable culture even as we grow
  • Mentor senior leads, help align their efforts to the firm’s strategic aims
  • Promote continuous learning (regulatory changes, best practices, new tools) and ensure team stays fresh and relevant

++Scalable efficiency++ .Internal operations are smoother: fewer bottlenecks, clearer accountability, reduced turnaround time for client deliverables, CEO is less involved in the day-to-day operations.

++Growth enablement++ .Firm is able to take on new clients (currently operating under a wait list to ensure quality remains high for existing clients).

++Leadership effectiveness.++ Leadership reports feel more organized and is able to focus on high‐value issues.

++Cohesiveness.++ The team feels aligned: you help create a sense of camaraderie while operating remotely and clarity of communication and deadlines.

++Exceptional client experience.++ The customized, boutique service quality remains high even as volume increases.

Qualifications:

  • Education:Degree from a respected university or college.
  • Experience: At least 6-7 years of professional experience; 4 years in consulting, including at least 1-2 years leading teams.
  • Knowledge:Strong understanding of professional services businesses, including the importance of high-touch client service and tight turnaround times.
  • Skills: Entrepreneurial mindset; demonstrated track record in a leadership, project management, with preference for those with previous experience in chief of staff/strategic operations roles or as someone’s right hand support; excellent organizational, analytical, and problem-solving abilities; ability to multitask and manage complex projects; demonstrated experience establishing processes, structures and solutions required to scale and/or institutionalize an organization. Preference for those with proficiency in Monday.com (CRM and workflow modules) and QuickBooks; high integrity, discretion, proactive mindset; very strong attention to detail.
  • Communication : Exceptional communication skills, writing, presenting, interacting with clients, partners, vendors and internal team; servant-leader client service mentality.
