About The Role

The Administrative Coordinator at Switch plays a vital role in supporting the Construction Management team by providing comprehensive administrative assistance. This position involves coordinating operational and planning activities, ensuring smooth communication flow between management and stakeholders, and managing various administrative tasks. The role requires preparing reports, drafting correspondence, organizing meetings, and managing travel arrangements and expense reports. The Coordinator will also assist in preparing presentation materials, maintaining files, and supporting special projects. This position offers an opportunity to work in a fast-paced, high-impact environment where innovation and operational excellence are prioritized. The Administrative Coordinator will contribute directly to the company’s mission of delivering mission-critical infrastructure solutions that redefine possibilities in AI, cloud, and enterprise data centers.

Qualifications

  • Proven administrative or assistant experience
  • Associates or Bachelor’s degree preferred
  • Proficiency in MS Office 365, including Outlook, Word, PowerPoint, and Excel
  • Excellent oral and written communication skills
  • Strong organizational and prioritization skills with meticulous attention to detail
  • Ability to handle confidential information with discretion
  • Exceptional calendar management and scheduling abilities
  • Ability to work independently and manage multiple tasks simultaneously
  • Flexibility to work a varied schedule, including nights, weekends, or shift rotations as needed
  • Willingness to travel as required by operational needs
  • Ability to influence and collaborate with executive leadership and cross-functional teams
  • Demonstrated initiative, resourcefulness, and a positive attitude

Responsibilities

  • Provide ongoing administrative support to the Construction Management and management teams
  • Manage and organize files, including compliance documentation, correspondence, agreements, and industry information
  • Assist in preparing presentation materials, reports, and handouts, ensuring accuracy and professionalism
  • Coordinate and schedule internal and external meetings, conference calls, and appointments
  • Arrange travel itineraries, accommodations, and transportation for management team members
  • Process office supply orders and maintain inventory levels
  • Track and manage travel expenses, prepare expense reports, and verify coding and receipts
  • Input purchasing requests, verify details, and track purchase and change orders
  • Support special projects, seminars, and conferences, including logistics and documentation
  • Maintain schedules using Microsoft Outlook and ensure timely communication of updates
  • Assist with drafting, editing, and proofreading correspondence and reports
  • Ensure timely and accurate flow of information between teams and stakeholders
  • Contribute to a culture of continuous improvement, innovation, and operational excellence
