This is a full-time, 12-month, unclassified position. The appointment begin date is available immediately.

Position Duties/Responsibilities

  • Provides clerical support and personal assistance to the Department Head of Undergraduate Nursing in the management of daily operations.
  • Maintain and prioritize Department Head’s appointment calendar.
  • Shows discretion with confidential information of any type.
  • Enter class schedule and make any changes needed.
  • Enter pre-req/overrides for students.
  • Collect and submit Application for Degree forms and Degree Certification forms.
  • Prepare and submit travel requests and travel reimbursement requests for UGNR.
  • Complete and submit Supplemental Pay Form A and B for UGNR.
  • Process purchase requisitions according to needs of the Undergraduate Nursing. Follows state and university guidelines specific to those functions including maintaining appropriate documentation.
  • Prepare and process petty cash reimbursements. Submit appropriate documents to Accounting department.
  • Maintain CONHP documents and files that are current and accurate.
  • Provides oversight to Undergraduate Nursing faculty and staff submitting time sheets, leave sheets and comp leave forms to the appropriate personnel for processing.
  • Maintain well-organized files for correspondence.
  • Ensure that equipment maintenance contracts are current.
  • Report equipment malfunctions timely.
  • Enter and receive (in Banner System) all requisitions for UGNR, including supplies and medical supplies for skills labs and simulation labs.
  • Request Student Employees for the BSN office and Skills labs.
  • Use all supplies efficiently and reorders as needed to avoid interruption in work.
  • Complete other duties as deemed essential by the Department Head of Undergraduate Nursing or designee.
  • Provide oversight for maintenance of current clinical agency affiliation agreements.
  • Assist Endowed Professorship holders with reimbursements and management of EP.
  • Lock skills labs/suite before leaving each day unless otherwise being used after hours.
  • Support efforts to maintain program accreditation from LSBN and CCNE by keeping current enrollment information and other required documentation and reports through MSU.
  • Assist with semester and annual reports for various boards, committees, and organizations. Examples: LSBN, CCNE, AACN.
  • Schedule time/events/meetings in the Undergraduate Nursing facility.
  • Support CONHP in fostering a welcoming climate that enhances the ‘personal touch’ at MSU.
  • Maintain courteous and respectful interactions with all students, faculty and staff.
  • Answer the telephone promptly, politely identifying oneself and work unit.
  • Effectively convey information verbally and in writing.
  • Explain policies and procedures clearly to others.
  • Listen attentively. Demonstrates exceptional retention of facts and information from previous conversations.
  • Try to clearly understand information obtained from others by questioning those items not understood.

Job Concepts

Responsibilities include but are not limited to: Providing clerical support and personal assistance to the Department Head of Undergraduate Nursing in the management of daily operations. Managing travel requests/arrangements for Department Head and all UGNR faculty members. Managing travel reimbursement and submission of travel expenses for Department Head and all UGNR faculty members. Schedule time/events/meetings in the Undergraduate Nursing facility. Ensuring that all required personnel, budget, and travel files are kept up-to-date, organized, and readily available to meet State, University, and accreditation body requests. Managing the ordering of necessary supplies to maintain day-to-day operations of the Undergraduate Nursing Department. Creating and submitting required contractual paperwork each semester for Nursing adjunct faculty contracts; Professional Service Contracts; Extra Service Contracts; Continuing Education contracts; Affiliation Agreements, and Employee Hire packets. Ensuing that all new employee interviews, documentation, and paperwork for MSU and Louisiana State Board of Nursing are submitted in a timely manner. Assisting Endowed Professorship holders in the establishment of budget units, expenditures, and reconciliation of annual budgets. Program Directors in the management, expenditure requests, budget monitoring, and budget reconciliation for Undergraduate Nursing. Complete other duties as deemed essential by the Department Head or designee.

Required/Preferred Qualifications

  • Associate degree required; bachelor’s or commensurate experience preferred.
  • Excellent communication skills, both verbal and written, including the ability to effectively communicate with students, faculty, campus personnel, and the general public.
  • Ability to effectively multi-task and complete work assignments independently
  • Ability to use Microsoft 365 Office programs, including Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint, Teams, and Forms
  • Ability to organize, prioritize, and allocate tasks and resources to meet the needs of students, faculty, and staff.
  • Broad understanding of various nursing and health professions education levels
  • One to three years of work experience providing administrative support.
