About The Role The Administrative Coordinator at Switch plays a vital role in supporting the Construction Management team by providing comprehensive administrative assistance. This position requires a proactive, detail-oriented individual capable of managing multiple tasks efficiently in a fast-paced environment. The coordinator will facilitate operational and planning activities, ensure seamless communication between management and stakeholders, and support various administrative functions including scheduling, document management, and travel arrangements. The role offers an opportunity to contribute to mission-critical projects that redefine possibilities in AI, cloud computing, and enterprise data center solutions. Qualifications
- Proven experience in administrative or assistant roles
- Associates or Bachelor’s degree preferred
- Excellent communication skills, both oral and written
- Proficiency in MS Office 365 (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Ability to handle confidential information with discretion
- Experience managing multiple priorities and deadlines
- Ability to work independently and collaboratively within a team
- Flexibility to work evenings, weekends, or shifts as required
- Willingness to travel as needed
- High level of professionalism and positive attitude
- Resourcefulness and proactive approach to problem-solving
Responsibilities
- Provide ongoing administrative support to the Construction Management team
- Manage files and documentation, including compliance, agreements, and industry information
- Assist in preparing presentations, reports, and handouts for meetings
- Coordinate and schedule internal and external meetings, conference calls, and events
- Arrange travel itineraries, accommodations, and transportation for management
- Process travel expenses and prepare expense reports with accuracy and timeliness
- Order and maintain office supplies, ensuring adequate stock for the team
- Track purchasing requests, purchase orders, and change orders
- Maintain and update schedules using Microsoft Outlook
- Support special projects and initiatives as assigned by management
- Assist with event planning, catering arrangements, and logistical support for meetings
- Conduct research and compile statistical reports to support decision-making
- Ensure effective communication flow between management and stakeholders
- Uphold confidentiality and security of sensitive information
