SUMMARY: Under general supervision, performs a variety of skilled secretarial duties to support the activities of the department. Duties include preparation of confidential and sensitive correspondence, maintenance of records and files, mail distribution and reception. Duties include preparation of confidential and sensitive correspondence, maintenance of records and files, mail distribution and reception. Compose and send out in own name informational memos and routing correspondence based on knowledge of corporate policies and procedures. May use dictation equipment to prepare materials. Receives and distributes mail. Receive and refer visitors and telephone calls. Respond to information needs within level of authority and where policy and procedure is clear. Refer more complex issues to others as appropriate. Interact with individuals within and outside Hospital to exchange information. Coordinate schedule and meetings, investigate problems and resolve matters within scope of own authority based on experience and knowledge of policies and procedures. Maintain calendar, coordinate scheduling of and preparation of materials for internal/external meetings. Make hotel and travel arrangements for staff as necessary. Initiate, file, update and purge files and databases. Update department and professional policy/procedure manuals as directed. Maintain office supplies, reordering at own discretion consistent with needs and budgeted allowances. Prepare and follow-up on purchase orders and requests for checks. As directed, participate in special projects utilizing knowledge of organization and exercising independent judgment to see project to completion. Maintain established Brown University Health policies, procedures, objectives, quality assurance, safety, environmental and infection control. Perform other related duties as required. MINIMUM QUALIFICATIONS: BASIC KNOWLEDGE: Level of knowledge of computer applications (including word processing skills and spreadsheet applications); correspondence preparation, business procedures and communication normally acquired through completion of a two-year secretarial program or equivalent. EXPERIENCE: Three years progressively more responsible related experience. WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS: Work is performed in a typical office environment requiring sitting, standing and walking. INDEPENDENT ACTION: Work is performed under general supervision with some independent judgment exercised in determining work priorities and methods. SUPERVISORY RESPONSIBILITY: None.

Pay Range $17.77-$29.31
