About The Role

We are seeking a highly organized, proactive, and discreet Executive Assistant to support our Founder & CEO. This critical role involves providing comprehensive, high-touch support to enable the CEO to focus on strategic initiatives and company growth. The successful candidate will serve as a trusted partner within the Office of the CEO, managing an intense and dynamic calendar, coordinating complex travel arrangements, and handling sensitive communications with professionalism and tact. This role requires a detail-oriented individual who can anticipate needs, prioritize effectively, and operate with a high level of discretion. The position is based in our San Francisco office, with a requirement for regular weekly presence and occasional national and international travel, up to 15% of the time. The Executive Assistant will be instrumental in streamlining workflows, managing stakeholder relationships, and supporting special projects that align with the company’s strategic goals.

Qualifications

  • 10+ years of experience supporting C-suite executives, with at least 5 years supporting a Founder or CEO, preferably in a public company or high-growth environment.
  • Proven ability to manage complex calendars, travel logistics, and high-volume communications with precision and professionalism.
  • Strong interpersonal and communication skills, capable of engaging with senior executives, high-profile stakeholders, and internal teams.
  • Exceptional organizational skills with a keen attention to detail and the ability to prioritize competing demands effectively.
  • Experience supporting a high-profile, public-facing executive in industries such as technology, finance, media, or startups.
  • Discretion and confidentiality in handling sensitive information and personal matters.
  • Tech-savvy with proficiency in G Suite, Slack, Zoom, expense management tools, and familiarity with AI tools.
  • Ability to adapt to rapidly changing priorities and work calmly under pressure.
  • Willingness to travel domestically and internationally, with 24/7 availability during travel periods.
  • Living within a reasonable distance to Affirm’s San Francisco office to facilitate weekly presence.

Responsibilities

  • Provide comprehensive support to the CEO across all aspects of their professional and personal life, anticipating needs and proactively managing schedules and commitments.
  • Manage an active and complex calendar, prioritizing meetings, conflicts, and time allocations for both business and personal engagements.
  • Coordinate domestic and international travel arrangements, including accommodations, transportation, and itinerary planning.
  • Prepare briefing materials, agendas, and relevant documents ahead of meetings to ensure the CEO is well-prepared.
  • Streamline high-volume communications across various channels, ensuring timely responses and appropriate follow-up.
  • Serve as a liaison with internal departments, external partners, and the CEO’s personal network, facilitating efficient workflows and relationship management.
  • Collaborate closely with the Chief of Staff to manage inbound and outbound requests, assist with special projects, press appearances, and speaking engagements.
  • Assist with financial administration tasks such as processing expense reports, approvals, and travel reimbursements.
  • Attend executive team meetings as required, ensuring all logistics and meeting spaces are prepared for optimal performance.
  • Support the CEO in managing urgent requests, last-minute changes, and high-pressure situations with professionalism and discretion.
