About The Role We’re looking for a highly organized and proactive Executive Assistant (EA) to the CEO who thrives in a fast-moving SaaS environment. This role is the CEO’s right hand — ensuring their time, attention, and priorities are maximized. You will manage scheduling, coordinate critical meetings and offsites, prepare materials, and drive follow-through on commitments. The ideal candidate is detail-oriented, resourceful, and comfortable working with executives, customers, and cross-functional teams at all levels.

This is not just an administrative role — it’s a force-multiplier position for the CEO and the executive team, ensuring that the most important work gets done. Your contributions will directly impact the efficiency and effectiveness of our leadership, enabling strategic initiatives to move forward seamlessly. You will be expected to handle a broad range of responsibilities with professionalism, discretion, and a proactive mindset, contributing to a high-performance culture and supporting the company’s growth trajectory.

Qualifications

  • 5–8 years of experience as an Executive Assistant supporting C-level executives, preferably within a SaaS or technology environment
  • Exceptional organizational and multitasking skills under pressure
  • Strong written and verbal communication skills with a polished executive presence
  • Proven ability to capture, track, and ensure follow-through on commitments across multiple stakeholders
  • Adept with productivity tools such as Google Workspace, Slack, Zoom, Notion, and emerging AI-driven solutions
  • Discreet, trustworthy, and comfortable handling sensitive and confidential information
  • Proactive problem solver with excellent judgment and decision-making abilities
  • Adaptable and calm in high-change, high-growth environments

Responsibilities

  • Meeting Hygiene & Follow-Through: Capture minutes and action items in critical meetings; proactively ensure follow-through on decisions and commitments
  • Customer Engagement Support: Manage logistics for CEO customer and partner meetings, including briefing materials, scheduling, and follow-ups
  • Offsites & Town Halls: Plan and execute logistics for CEO-led and company-wide events, ensuring flawless execution
  • Planning & Review Meeting Coordination: Schedule and prepare planning and review meetings across departments such as product and marketing, providing the CEO with timely and relevant information
  • Calendar & Time Management: Own the CEO’s calendar, protect focus blocks, and prioritize competing demands effectively
  • Information & Document Management: Maintain document hygiene, permissions, and version control; assemble readouts and briefing packs
  • Inbox & Correspondence: Triage and draft correspondence to customers, partners, and internal teams, ensuring professionalism and clarity
  • Recruiting & Onboarding Support: Coordinate scheduling for executive candidates and assist with onboarding logistics for new hires
  • Cross-Functional Coordination: Manage thank-you notes, gift logistics, and handle sensitive information such as NDAs and confidential files
  • Execution Partner: Support preparation of pre-reads, review packets, and organize the CEO’s daily briefing to optimize their productivity
