About The Role We are seeking a highly skilled and proactive Executive Assistant II to provide comprehensive support to our Founder & CEO. This role is vital in ensuring the CEO’s time is optimized through meticulous calendar management, strategic stakeholder engagement, and seamless operational support. The ideal candidate will serve as a trusted partner, managing an intense and dynamic schedule, coordinating international and domestic travel, and preparing high-quality briefing materials. The position requires a strong sense of discretion, exceptional organizational skills, and the ability to operate effectively in a fast-paced, high-growth environment. The role offers the opportunity to work closely with executive leadership, contribute to strategic initiatives, and be an integral part of Affirm’s mission-driven culture.
Qualifications
- 10 years of experience supporting C-suite executives, with at least 5 years supporting a Founder or CEO, preferably in a public company or high-growth startup environment
- Proven ability to manage complex calendars and logistics with precision and tact
- Experience supporting personal and professional aspects of an executive’s life, demonstrating seamless integration and discretion
- Exceptional communication skills, both verbal and written, with the ability to engage professionally with high-profile stakeholders
- Strong adaptability and resilience, capable of managing shifting priorities and working under pressure
- Highly tech-savvy, with proficiency in G Suite, Slack, Zoom, expense management tools, and familiarity with AI tools
- Experience supporting executives in industries such as technology, media, finance, or venture-backed startups
- Ability to work in a hybrid environment, with a weekly presence in San Francisco and flexibility for travel
- Excellent judgment, discretion, and confidentiality in handling sensitive information
- Bachelor’s degree or equivalent professional experience
Responsibilities
- Provide high-touch, comprehensive support to the CEO, anticipating needs and proactively managing schedules and commitments
- Manage a highly active and dynamic calendar, prioritizing conflicts and optimizing time allocation for both business and personal engagements
- Coordinate complex international and domestic travel arrangements, including logistics and itineraries
- Prepare briefing documents, agendas, and relevant materials ahead of meetings to ensure the CEO is fully prepared
- Streamline high-volume communications across multiple channels, maintaining professionalism and confidentiality
- Liaise with the CEO’s personal and professional network, facilitating relationship management and engagement
- Collaborate closely with the Chief of Staff and other executive assistants to ensure operational alignment across the leadership team
- Assist with special projects, press appearances, and speaking engagements as needed
- Support financial administrative tasks including processing expense reports, approvals, and reimbursements
- Attend executive team meetings and ensure all logistical and technical arrangements are in place for optimal meeting performance
- Serve as a thought partner to the CEO and provide strategic operational support to enhance overall efficiency
