About The Role Halcyon is seeking a highly organized and proactive Executive Assistant to support our Chief Marketing Officer (CMO), Kelly Fiedler, and the broader senior leadership team. This role is vital in ensuring the seamless execution of daily operations, strategic initiatives, and high-priority projects within a fast-paced, dynamic environment. The successful candidate will serve as a trusted partner, managing complex calendars, coordinating travel arrangements, preparing executive materials, and facilitating communication across teams and external stakeholders. The Executive Assistant will also play a key role in supporting company events, onboarding new team members, and driving cross-functional initiatives that contribute to the company’s growth and visibility. This position offers an exciting opportunity to work closely with senior leadership and contribute meaningfully to Halcyon’s success in the cybersecurity industry.
Qualifications
- Bachelor’s degree or equivalent professional experience
- Minimum of 3 years experience as an Executive Assistant, preferably in a high-growth or startup environment
- Exceptional calendar, travel, and expense management skills
- Strong proficiency with Microsoft Office Suite and collaboration tools such as Slack, Zoom, Google Workspace, and project management software
- Excellent written and verbal communication skills, with the ability to interact confidently across all organizational levels
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality
- Proactive problem-solving skills and a solutions-oriented mindset
- Ability to adapt quickly to changing priorities and work effectively in a remote, distributed team environment
- Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks efficiently
Responsibilities
- Provide high-level administrative and strategic support to the CMO, including managing schedules, preparing materials, and coordinating communications
- Own and prioritize the CMO’s calendar, ensuring critical meetings and follow-ups are handled with clarity and urgency
- Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries
- Manage expense reporting accurately and timely, supporting budget tracking for marketing initiatives
- Organize and prepare agendas, materials, and minutes for leadership and team meetings, and drive follow-up on action items
- Partner with marketing leadership to coordinate logistics for flagship industry events such as RSA and Black Hat, as well as internal team events
- Support cross-functional initiatives that impact company growth and visibility, ensuring timely and effective execution
- Facilitate onboarding processes for new marketing team members, ensuring a smooth integration into the organization
- Take ownership of various projects and initiatives, driving them to completion with accountability and attention to detail
