Job Description We’re seeking a highly skilled and proactive Senior Executive Assistant to provide comprehensive support to our company’s owner. This is a crucial role for a self-motivated individual who can anticipate needs, manage complex tasks, and ensure the seamless operation of the executive’s professional life. You’ll be a key partner in helping the owner and the company achieve their goals.

Responsibilities

  • Calendar and Time Management: Strategically manage a dynamic and complex calendar, including scheduling, prioritizing, and coordinating meetings, appointments, and events.
  • Email Management: Act as a gatekeeper and first point of contact for the executive’s inbox, filtering, prioritizing, drafting responses, and ensuring timely communication.
  • Travel Coordination: Plan and arrange all aspects of domestic and international travel, including flights, accommodation, ground transportation, and detailed itineraries.
  • Company Support: Assist in the management of company operations by preparing reports, conducting research, and handling special projects as assigned.
  • Meeting Preparation: Prepare for meetings by gathering necessary documents, creating presentations, and taking accurate minutes.
  • Communication: Serve as a professional and confidential liaison between the executive and internal and external stakeholders.
  • Operational Support: Handle administrative tasks, including expense reports, document management, and other duties to ensure the executive’s day runs smoothly.

Qualifications

  • Experience: At least 5+ years of experience as an Executive Assistant, preferably supporting a C-level executive or company owner.
  • Skills: Exceptional organizational and time management skills with a high level of attention to detail.
  • Technical Proficiency: Advanced proficiency with calendar and email management software (e.g., Google Suite, Microsoft Office) and a strong ability to learn new technologies quickly.
  • Communication: Outstanding written and verbal communication skills.
  • Discretion: A high degree of integrity and discretion in handling confidential information.
  • Problem-Solving: Proactive, resourceful, and able to solve problems independently.
  • Work Ethic: The ability to work a flexible schedule to meet the demands of a remote, fast-paced environment operating on US hours.
