About The Role The Administrative Assistant at BH plays a vital role in ensuring the smooth operation of the Dallas office. This position is responsible for delivering exceptional customer service, managing communication channels, and supporting daily administrative functions. The role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently in a fast-paced environment. As the first point of contact for visitors and callers, the Administrative Assistant fosters a welcoming atmosphere and represents the company professionally. The role also involves coordinating with building management, maintaining office supplies and equipment, and supporting various departmental projects. Responsibilities

  • Answer all incoming calls with proper telephone etiquette and direct callers appropriately
  • Route voicemail, emails, and faxes received in the general admin mailbox to relevant team members and follow up on inquiries
  • Serve as the first point of contact for office visitors and direct them accordingly
  • Coordinate with building management for work orders, parking, access cards, and vendor security clearance
  • Monitor and maintain office equipment, acting as the liaison for vendors servicing office needs
  • Maintain inventory of office hardware and computer equipment, including check-out logs for outside meetings
  • Distribute incoming mail promptly and manage outgoing shipments, including overnight packages
  • Coordinate express mail services such as FedEx and UPS as required
  • Maintain storage rooms, restock supplies in common areas, and prepare the office for meetings and visits
  • Assist with departmental projects and other administrative duties as assigned
