The ideal candidate will be a detail-oriented professional who can manage multiple priorities, handle confidential information with discretion, and ensure smooth daily operations.

Role: Executive Assistant

Job Description The Site Coordinator is responsible for planning and managing support and awareness activities to enhance the Site Operations and support the Leadership Team business processes. The Site Coordinator also collaborates with other sites and functions to align site actions with global corporate policies and promote cross-site awareness and cooperation.

Responsibilities

  • Act as the point of contact for access to the site and coordinate client travel, lodging, and general logistics for site visits.
  • Support program managers to create agendas, notify attendees, and coordinate relevant logistics, AV support, and reservations.
  • Monitor Facility environment (temperature, cleanliness, appearance, security) and coordinate needed actions with vendors and service providers.
  • Manage office and breakroom supplies.
  • Partner with HR to maintain office policies as necessary.
  • Organize office operations and procedures.
  • Coordinate with IT department on office equipment and AV systems.
  • Manage contract and price negotiations with office vendors and service providers.
  • Coordinate facility tours (virtual or in-person, for clients and audits) and maintain Site Visit folder in SharePoint.
  • Support site driven continuous improvement initiatives by providing project management services.
  • Consolidate, update, and publish site KPIs.
  • Manage travel arrangements and Expense Reports for the leadership team.
  • Maintain Site Leadership Team Agenda and Scheduling.
  • Establish and maintain Site Communications Plans and distribution lists.
  • Support site PIP program for security, compliance, and administration.
  • Reinforce a culture of accountability and collaboration.
  • Provide professional discretion, tact and diplomacy when interacting with clients and stakeholders.
  • Track and manage multi-stage projects simultaneously ensuring that deadlines are met in a timely manner.
  • Assist with catering for internal meetings.
  • Provide a solution-oriented approach to all tasks within a change environment.
  • Assist with planning Town Halls and all-employee meetings and events.
  • Complete all work with detailed accuracy.
  • Operate to the highest ethical and moral standards.
  • Comply with policies and procedures.
  • Communicate effectively with clients, supervisors, colleagues, and staff.
  • Participate effectively as a team player in all aspects of business.
  • Provide additional support services as needed.
  • Adhere to quality standards set by regulations and policies, procedures, and mission

Qualifications

  • BA/BS or 4 years comparable experience
  • Experience in project management and/or office management
  • Experience with Microsoft Office Suite and SharePoint
  • Experience with executive stakeholders
